Terms & Conditions of Booking onto PCMG Events
1. Sponsorship Cancellations/Changes
Once sponsorship is booked, cancellations are not permitted. The benefits of sponsorship begin from the point of booking, including visibility on social media, marketing activities, and website branding. As such, sponsorship fees are non-refundable.
If the event is rescheduled or postponed for any reason, the sponsorship will be carried forward to either the new date or the next event, without additional fees. The sponsorship package will remain unchanged. No refunds will be issued if a sponsor decides not to continue with the event (e.g., due to acquisition or insolvency).
2. Delegate Bookings
No refunds will be given for delegate cancellations (or partial cancellations) within 12 weeks of the event. Substitute delegates may be accepted at any time with no additional charge. Please email with details of the original booking and the new delegate, including any dietary needs, if applicable.
If, within 12 weeks of the event, you are unable to attend due to company-imposed travel restrictions (including but not limited to pandemic-related restrictions), no refund will be provided, and full payment will be required if not already completed. Similarly, if government restrictions prevent attendance, PCMG will not issue refunds, and full payment will still be required. Delegates should claim against their own insurance in such cases.
If you require a visa to attend the event, PCMG will provide an invitation letter only after booking and full payment have been made. Visa applications must be made in good time, and if your visa is denied, you must provide documented evidence at least 14 days before the event to receive a full refund. Visa rejections within 14 days of the event are subject to PCMG’s discretion regarding refunds.
3. Event Cancellation or Changes
PCMG will strive to hold events as planned. However, if government restrictions prevent the event from proceeding (e.g., venue closure, travel bans, or attendance limits), the event may transition to a virtual format or be postponed. In such cases, sponsorship and delegate bookings will be carried forward to the rescheduled event, and no refunds will be provided. A fee may apply for attending the virtual event, with any remaining balance carried over to the postponed event.
If company policy or personal preference prevents a delegate from attending, no refund or credit will be provided.
Neither PCMG nor the event venue will take responsibility for any loss or damage to equipment or materials brought to or collected from the event. The shipper/owner assumes full responsibility for any direct or indirect losses incurred.
